Privacy Policy

First effective: January 7, 2026. Authority: S. Jason Prohaska (ingombrante), CEO.

Ethraeon Systems designs AI systems around privacy, personal agency, and community well-being. This privacy policy describes how ETHRAEON handles information in connection with its websites, documentation, products, and public surfaces.

1. Scope

This policy applies to all ETHRAEON public surfaces (ethraeon.ai, ethraeon.systems, contact.ethraeon.ai, papers.ethraeon.ai, and related subdomains) and to any product feature offered by ETHRAEON Systems that collects or processes personal data. Enterprise and product-specific agreements may add or modify terms; that document controls where it conflicts with this policy.

2. Information We Collect

We collect only what is needed to provide the service, protect the system, support users, and meet legal duties. Typical categories:

Public documentation and evidence surfaces do not set advertising cookies. No third-party analytics or marketing trackers are embedded on our public surfaces.

3. How Data Is Used

Data may be used to operate the platform, improve reliability, prevent abuse, maintain audit records, respond to contact submissions, deliver requested features, and meet legal or regulatory obligations. We do not sell personal data. We do not share personal data with third parties for their own marketing.

4. Legal Basis (EU / UK / EEA visitors)

Where GDPR or UK-GDPR applies, our legal bases are: contract necessity (for account holders and paid products), legitimate interest (security monitoring, fraud prevention, product analytics on aggregate technical telemetry), consent (for optional features that ask for it), and legal obligation (retention required by law).

5. User Control

Users may request access, correction, deletion, or export of personal data where applicable. Requests are handled through our contact form and routed to the appropriate internal owner. We aim to respond within thirty days. Where identity verification is required to protect the requester, we will ask for the minimum necessary confirmation.

6. Retention

Server logs are retained for operational and security purposes and rotated on a rolling schedule. Contact form submissions and account records are retained for the life of the customer relationship plus the period required by law (financial and tax records typically seven years). Evidence artifacts published on public surfaces are append-only and immutable by design.

7. Security

Server and product infrastructure is maintained with industry-standard controls. Evidence artifacts are cryptographically hashed (SHA-256 and SHA-512 depending on class) and blockchain-anchored where noted. Access to production systems is limited to the founder sovereign and named operators, with fail-closed defaults. See our Security page and Trust Center for detail.

8. Third-Party Services

Where a product feature relies on a third-party service (for example, a payment processor for checkout, or a mail relay for outbound email), that service processes data under its own privacy terms and applicable data-processing agreements. Public documentation surfaces do not embed third-party analytics, advertising, or tracking services. External links are provided for informational purposes only and are governed by their own destinations.

9. Changes to This Policy

We may update this policy. Material changes will be reflected with an updated last-updated date and, where required by law, communicated to affected users. Continued use of ETHRAEON surfaces after an update constitutes acceptance of the updated terms.

10. Contact

Questions regarding this privacy policy or data subject requests: contact.ethraeon.ai (topic: Legal).
